An EPOS System for UK Small Businesses, With the Whole Shop in View

An EPOS system should be more than a till. Fluent's EPOS system gives independent shops and small UK retailers card payments at the till, stock that updates with every sale, and staff, customers, the day's takings and VAT in one place, with an AI assistant on top. Your shop runs on one system, not a till plus spreadsheets.

How do you take card payments at the till?

Take card and contactless payments at the counter on a card machine connected through Fluent's payment partners, such as SumUp. SumUp card machines connect to Fluent, and the sale, the payment and the stock update together. When a customer isn't at the till, send a payment link instead.

Every payment is recorded in the same place as your stock and takings, so you are not matching the card machine's report against the till at the end of the day. That is the point of an EPOS till system: one record of each sale, not two.

Away from the counter, take payment by payment link or QR code: handy when a customer rings up to order.

Does your stock keep up with every sale?

Yes. Each sale through the till comes off your stock count, so the figures move with the day's trade. Scan a barcode and the product comes up at the till; products can carry variants such as sizes and colours. Fluent also flags what needs attention in the stockroom:

  • Low stock: lines that will sell out within about a week at the current pace.
  • Dead stock: lines with no sales in 30 days or more, tying up shelf space and cash.
  • Best-sellers: popular lines getting close to their reorder point.

Fluent flags what to reorder, and you place the order with your supplier as usual. Moving over from a spreadsheet? Fluent can import your price list from it, so you are not typing in every product by hand.

Can your whole team work on the same system?

Yes. Your staff sell on the same system you use for stock and takings, and each sale is recorded against the team member who made it, so you can see sales per person for the week or the month.

Plan the rota in Shifts, Fluent's staff scheduling tool, and sync shifts to Google Calendar. On any day you can check open shifts and the hours worked so far.

How do customers, loyalty and gift cards fit in?

Your customers sit in the same system as your sales, each with their full purchase history. You can see your top customers by spend and visits, regulars who have stopped coming in, and new customers worth a second-visit message.

  • Loyalty & rewards to give regulars a reason to come back.
  • Gift cards for the customer who cannot decide what to buy.
  • Email & SMS campaigns and follow-ups, sent only to customers who have given you permission to contact them.

Can you sell online as well?

Yes. Fluent Retail includes an online store, so customers can buy from you outside opening hours. Online orders come from the same product list and the same stock count as the till. You can also see how many store visits turn into paid orders.

How do you see the day's takings and VAT?

The dashboard shows today's takings, the week and the month so far, and the card payouts still on their way to you. There is a VAT report for any period you choose, and a weekly or monthly report by email.

  • Takings split by payment method, and by location if you run more than one shop.
  • Your best-selling products and busiest hours, so you can staff the Saturday trade properly.
  • A VAT summary and a cash-flow forecast.

Need to invoice a trade customer or send a quote? Invoicing is built into Fluent too.

What can you ask Fluent AI about your shop?

Ask Fluent AI about your shop in plain words. It is designed around the sales, stock, customer and team information already in Fluent, shows the evidence and assumptions behind each answer, and prepares the next step. For example:

  • "What's going to sell out before next week?" It lists the lines to reorder.
  • "Which regulars haven't been in lately?" It sorts them by value and drafts a message you can send from Email & SMS.
  • Send it a photo or PDF of a supplier invoice, and it imports the invoice for you.

Nothing is sent or changed until you click Confirm. Check which AI workflows are available for your shop in a demo.

What hardware does Fluent's EPOS system need?

Standard kit. Fluent is a web app, so the till runs on the screen you already have: a tablet, a computer or a phone. It is designed to work with the standard hardware on the market: card machines, receipt printers, barcode scanners and cash drawers.

You do not have to guess what fits. Tell us what you have or plan to buy, and we confirm your exact hardware, model by model, when you book a demo.

Frequently asked questions.

Does Fluent work without an internet connection?

No. Fluent needs an internet connection to run, and it has no offline mode. Keep a backup ready, such as a mobile hotspot on a phone, so a dropped broadband line does not leave you without a till on a busy Saturday. If your shop's connection is patchy, raise it in your demo before you switch.

Is Fluent a point of sale system UK shops can use today?

Yes. Fluent is sold in the UK today. It is an EPOS system for small business owners who want the till, stock, team, customers and takings in one place rather than spread across separate tools. Fluent started in Lugano, Switzerland, and you can start free in the app or book a demo first.

How much does an EPOS system cost with Fluent?

Fluent's prices are on the Fluent pricing page, shown in your own currency, so UK visitors see pounds. You can start free in the app before you commit. Your card machine and other kit are confirmed in the demo, so ask about their cost at the same time.

Which shops is Fluent Retail built for?

Fluent Retail is Fluent's retail EPOS for clothing and shoe shops, pharmacies and independent shops: the counter, products, stock, customers and an online store in one system. If you run a café, Fluent Restaurant fits better, and bakeries can look at Fluent Food Lab. Not sure which? Ask in the demo.
